Muralists
1. Application and Selection:
a. Artists must submit a completed application to be considered for participation in the Space Coast Mural Festival.
b. The festival organizers reserve the right to select artists based on the relevance of their work to the festival theme, artistic merit, and available space.

2. Acceptance and Confirmation:
a. The initial round of elected muralist will be notified of their acceptance by 2/14/24 and are required to confirm their participation by 2/21/24.
b. Failure to confirm participation by the deadline may result in the selection of an alternate artist.
​
3. Mural Creation:
a. Artists are responsible for creating an original mural during the festival within the designated time frame.
b. Murals must adhere to the festival's theme and be suitable for public display.

Please keep your designs appropriate to this family friendly event (PG13). No nudity/lude acts, drugs, curse words, politics, violence or racism of any kind.

4. Materials and Logistics:
a. Artists are responsible for providing their own materials and tools required for mural creation.​ This does not include the wall itself.
b. Festival organizers will coordinate logistics, including wall assignments, paint supplies, and any necessary permits.
c. We donate 1 gallon of paint per muralist. See "Compensation".

5. Intellectual Property:
a. Artists retain the intellectual property rights to their murals.
b. Artists agree that they are not able to sell limited edition reproductions (prints & trading cards) of mural without written consent from the Space Coast Mural Festival and one year of time as passed since the piece was painted
c. Artists agree to allowing the Space Coast Mural Festival retain, as well as, sell their temporary mural wall on their behalf
b. By participating, artists grant the Space Coast Mural Festival the right to photograph, reproduce, and use images of their murals for promotional and sale purposes of, but not limited to:

Limited Edition Paper Prints

Limited Edition Trading Cards

6. Code of Conduct:
a. Artists must adhere to a professional code of conduct and conduct themselves in a manner that reflects positively on the festival.
b. We will have a location for artists to take breaks during the event but please be considerate to the people that had came to watch your talent and don’t take breaks that are hours long
c. Please make sure to keep your paint and trash off of the streets and out of the storm drains. It is very important that we keep an environmentally friendly event.
d. Any behavior that violates local laws, regulations, or the festival's guidelines may result in disqualification and removal from the event.

7. Set-Up and Tear-Down:
a. Vendors must adhere to designated set-up and tear-down times.
b. All equipment, waste, and debris must be removed from the site promptly after the festival concludes.

8. Insurance:
a. Artists are required to carry their own liability insurance.
b. The Space Coast Mural Festival will not be held liable for any damage, loss, or injury that occurs during the festival.

9. Compensation:
a. Participating artists may receive compensation as outlined in individual agreements potentially including:

Auction funds from their mural

Limited edition prints
-
Artist is responsible for the cost of the shipping labels of prints sent to them selves and back to the shop. This occurs when a non-local artist decides to sign their prints before they go out to the general public. This round trip shipment cost is subtracted from the artists 70% of gross sale. ​

Travel & Living Accommodations
b. If you need more than a gallon of paint, please remember we are reimbursing up to $100 in material expenses, unless stated otherwise but YOU MUST SEND US A PICTURE OF YOUR RECEIPT BY 4/1/24 IN ORDER TO BE REIMBURSED

10. Sales and Tax Compliance (Booth Artists Only):
a. Vendors are responsible for collecting and remitting any applicable sales taxes.
b. Compliance with local and state tax regulations is the sole responsibility of the vendor.

11. Cancellation:
a. In the event of unforeseen circumstances, the Space Coast Mural Festival organizers reserve the right to cancel or reschedule the event without a refund
b. Artists will be notified promptly in case of cancellation or rescheduling.

12. Agreement Acknowledgment:
a. By confirming participation, artists acknowledge that they have read and agree to abide by the terms and conditions outlined in this agreement.
Booth Artists
1. Application and Selection:
a. Booth artists/vendors must submit a completed application to be considered for participation in the Space Coast Mural Festival.
b. The festival organizers reserve the right to select vendors based on the relevance of their offerings, quality of products, and available space.

2. Acceptance and Confirmation:
a. Selected booth artists/vendors will be notified of their acceptance and are required to confirm their participation acceptance by 2/14/24 and are required to confirm their participation by 2/21/24.
b. Failure to confirm participation by the deadline may result in the selection of an alternate vendor.
3. Booth Setup and Breakdown:
a. Booth artists/vendors are responsible for the complete setup and breakdown of their booths.
b. Booth setup must be completed within the designated timeframe provided by festival organizers.
c. Booth breakdown should commence only after the festival concludes and attendees have left the premises.
d. Artists that set up live painting displays are asked to keep their set up of live painting display inside or as close to the front of the booth as possibly but NOT to any other side of the booth
c. Booths are allowed to play music in their booths under the following circumstances:

Volume Control:

Ensure that the volume of your booth's music is set at a level where it is not audible to neighboring booths. Respect the personal space and ambiance of fellow artists.

Family-Friendly Content:
-
Play music that is family-friendly and suitable for all audiences. Avoid content with explicit language, profanity, sexual content or themes that may be considered offensive or inappropriate.

Courtesy and Respect:

Show courtesy and respect to fellow artists, attendees, and festival organizers. By being mindful of your music's impact, you contribute to a positive and inclusive atmosphere at the Space Coast Mural Festival.

4. Equipment Requirements:
a. Booth artists/vendors must bring and set up their own tents, tables, and any additional display equipment.
b. Each leg of the booth tent must be secured with a minimum of 25 lbs of weight to ensure stability.
c. All equipment must comply with safety regulations and be properly maintained.
5. Health and Safety Compliance:
a. Booth artists/vendors must comply with all local health and safety regulations and obtain any necessary permits.
b. Vendors are responsible for maintaining a clean and safe booth area.
6. Insurance:
a. Booth artists/vendors are encouraged to carry their own liability insurance.
b. The Space Coast Mural Festival will not be held liable for any damage, loss, or injury related to booth operations.
7. Sales and Tax Compliance:
a. Vendors are responsible for collecting and remitting any applicable sales taxes.
b. Compliance with local and state tax regulations is the sole responsibility of the vendor.
8. Agreement Duration:
a. The agreement is valid only for the specified dates and times of the Space Coast Mural Festival.
b. Early departure or late arrival must be coordinated with festival organizers.
9. Cancellation:
a. In the event of unforeseen circumstances, the Space Coast Mural Festival organizers reserve the right to cancel or reschedule the event without a refund.
b. Vendors will be notified promptly in case of cancellation or rescheduling.
10. Agreement Acknowledgment:
a. By confirming participation, booth artists/vendors acknowledge that they have read and agree to abide by the terms and conditions outlined in this agreement.
Muralist & Booth Artist
Voting Rules
1. Eligibility:
a. Open to muralists and booth artists participating in the festival.
​
2. Free Votes:
a. Artists are entitled to one free vote.
b. Artists free votes can only be cast in-person.
​
3. Voting Period:
a. In-person voting takes place during the festival weekend.
b. Online voting is available from the start of the event time until midnight EST on 3/29.
4. Prize Pools:
a. Voting Value:
-
$1 equals 1 vote for the artist of your choice.
b. Allocation for Prize Pools
-
70% of each vote goes to the prize pool of the respective category (muralists or booth artists).
-
If artists enter as a team, the prize money won by said team would be split evenly between the artists on the team unless other terms are set by the artists and event prior to the event

For student muralists, 80% of each vote is allocated (50% to participating students' arts programs, 20% to the 1st place student artist's school, and 10% to the 2nd place student artist's school).
a. Minimum Prize Values:

1st Place Muralist: $500

2nd Place Muralist: $250

Extended Online Voting (Overall Muralist): +$100

1st Place Booth Artist: $250

2nd Place Booth Artist: $100

1st Place School Artist (Student): $250 (for the school's art program)

2nd Place School Artist (Student): $100 (for the school's art program)​
c. Changes and Amendments:

The Space Coast Mural Festival reserves the right to modify voting categories and prizes at its discretion.
These rules ensure transparency and establish minimum prize values for artists participating in the Space Coast Mural Festival voting competition, fostering a fair and rewarding experience.
5. Integrity:
a. The integrity of the voting process is crucial. Cheating compromises the fairness of the competition.
b. The festival organizers will take strict action against any artist found cheating, including disqualification, potential exclusion from future events, non-compensation or reimbursements.
6. Live Stream and Final Images:
a. A live stream showcasing artists' work will be available throughout the festival weekend.
b. Final images of murals will be posted by 3/25 for online voting.
7. Winner Announcement:
a. Regular event voting and prizes (online & in-person) conclude on 3/24 at 4 pm EST.
b. Extended voting online starts on 3/24 at 4 pm EST and ends on 3/29 at 11:59 pm EST.
c. The winners of the muralists (online & in-person) and booth artists (in-person only) categories for the regular voting event period will be mentioned at the festival.
d. The voting participant winners and "overall muralist will be announced on 4/1.

8. Muralist Rotation
a. Permanent Walls
-
The bottom 2-5 muralists (per votes) will be asked to come back the following event as a temporary wall
b. Temporary Walls
-
The top 2 muralists (per votes) will be invited back next year with a guaranteed permanent wall
-
The bottom 10-15 muralists (per votes) will not be invited back the following years event but can apply again two events later
c. Booth Artists
-
The bottom 30% of booth artists (per votes) may not be invited back the following years event but can apply again two events later

8. Privacy:
a. Artists must uphold the principles of fair play and respect for the voting process.

​By participating in the voting process, artists acknowledge and agree to abide by these guidelines. The Space Coast Mural Festival organizers uphold a commitment to fair competition and discourage any actions that compromise the integrity of the event.
Auction Rules
1. Auction Eligibility:
a. Artists who have created murals during the festival are eligible to participate in the auction.
b. Only completed and approved murals are eligible for inclusion in the auction.

3. Auction Participation Agreement:
a. By filling out the muralist application, artists agree to the terms and conditions outlined in this auction participation agreement.
b. The agreement includes details on the reserve price, commission rates, and other relevant auction policies.

5. Commission Rates:
a. The art festival organizers will retain a commission fee on the final sale price of each auctioned mural piece of 30% gross sale.
b. Commission rates and fee structures will be communicated to artists in advance.

6. Bidding Process:
a. Bidders can place bids on the online auction platform and in-person auction forum during the specified auction period.
b. The highest bidder at the end of the auction wins the right to purchase the mural piece.
7. Auction Promotion:
a. The art festival will actively promote the auction through various channels to maximize exposure.
b. Artists are encouraged to share information about the auction through their own networks.

8. Payment and Transaction Process:
a. The winning bidder is responsible for completing the payment by 11:59 pm EST on 3/29
b. Upon successful payment, the artist will be notified
c. Buyer of pieces are responsible for pick up from the Trent Art Gallery headquarters or payment for shipping of pieces by 4/5
9. Artist Recognition:
a. Artists will be credited for their work during the auction, with the opportunity to share their artistic background and inspiration.
b. The festival organizers may provide promotional support for participating artists.
10. Auction Proceeds:
a. Artists will receive the proceeds from the auction, minus the agreed-upon commission fee retained by the art festival.
11. Dispute Resolution:
a. In the event of any disputes or issues, the art festival organizers will act as mediators to resolve conflicts between artists and buyers.
12. Terms and Conditions Agreement:
a. By submitting the artist application, each artist has acknowledged that they have read and agreed to the terms and conditions of the mural auction.

By participating in the mural auction, artists acknowledge and agree to abide by these rules and guidelines set forth by the art festival organizers.
